What is Form I-9?

Form I-9 is a document required by the U.S. Citizenship and Immigration Services (USCIS) that verifies a person’s identity and their legal authorization to work in the United States. Every employer in the U.S. must complete an I-9 for each new hire, regardless of citizenship status.

There are two parts to the form:

• Section 1 is completed by the employee.
• Section 2 must be completed by the employer or an authorized representative who physically examines the employee’s identification documents.

Where Does a Mobile Notary Come In?

When an employer and employee are not in the same location—such as in remote work or out-of-state hiring situations—the employer can designate an authorized representative to complete Section 2 of the I-9 on their behalf.

While notaries are not required to notarize the form, we can act as an authorized representative to inspect the employee’s original documents (such as a passport or a combination of a driver’s license and social security card), complete Section 2, and ensure everything is filled out correctly.
